We have two methods of tracking people. We have a tally sheet which is used to track how many people enter the building and where they are from, and then separately we track museum admissions through our point-of-sale system where we track how many people tour our exhibit and what age groups are included in their tour.
Welcome the guest to the museum with a greeting like:
“Hello! Welcome to the National Road Museum! Have you come to tour our museums?”
This will help you to identify what sort of visitor this is. Most will say yes, while others will ask about the museum before deciding, and some will stop in just to ask for directions or see what information is offered at the Visitor Center.
No matter what the guest responds with, we want to make sure their attendance is recorded. Even if they don’t tour the museums or they have already visited in the past, they are a person entering our building who we are serving.
Ask a question along the lines of:
“Real quickly, would you mind letting me know your zipcode and how you heard about us?”
They may say no, but if they give an answer, promptly write the answers down in the corresponding columns of the tally sheet on the desk, along with the total number of people in their group.
If the guest is only seeking information, provide them with whatever answers you are able to offer, and thank them for stopping by when they depart. No other tracking is necessary.
